Policies that work

A Salon No-Show Policy Clients Will Actually Accept

Every owner has the same story: a long colour appointment, a stylist ready and waiting, and a phone that goes straight to voicemail. An hour of a stylist’s time, gone. A no-show policy exists for that hour, not to punish anyone.

Our no-show guide covers the reminders and rebooking habits that cut the problem down. This one is about the rule itself: what to say, and how to enforce it without losing regulars.

What a good policy does

  • Tells people what you expect before they book, not after they’ve missed.
  • Costs something only when someone really lets you down.
  • Has room for real emergencies and for loyal clients.
  • Is easy for any member of staff to explain in one sentence.

The three parts

1. A notice period. Most salons ask for at least 24 hours for normal services, and more for long ones (bridal, colour, keratin). Cancel inside that window and the policy applies.

2. A consequence. It can be a cancellation fee, the loss of an advance, or a requirement to pay an advance next time. Pick one you’ll actually enforce.

3. A grace period for lateness. Ten to fifteen minutes is common. After that, the service is shortened or moved.

Use an advance, not a lecture

An advance (a small payment when booking) works better than any speech, because the client has a reason to turn up or call. Charge it where it counts: long, expensive services and busy times, not a ten-minute threading slot. Salonipy’s Booking Advance lets clients pay a deposit when they book online, and your no-show policy is shown on the booking page.

Wording you can copy

Booking pageWe hold your time just for you. Please let us know at least 24 hours ahead if you need to change it, so we can offer the slot to someone else.
Confirmation messageYour appointment is confirmed for ___. Reply CONFIRM, or tell us here if you need to move it. For colour and long services, cancellations under 24 hours may lose the advance.
At the deskNo problem, thank you for telling us. Shall we find you a new time now?

Let WhatsApp do the chasing

A reminder the day before cuts most no-shows, and a reply of CONFIRM or CANCEL gives you time to refill the slot. Salonipy can send these reminders and update the booking itself when the client replies. The WhatsApp message templates page has wording to start from.

When to bend the rule

You will meet real emergencies: a sick child, a family death, a road accident. A good owner waives the fee, says so kindly and notes it on the client’s record. It buys a great deal of loyalty. What you shouldn’t do is waive it for the same person four times. Keep a note of what happened, so everyone on your team treats her the same.

Count what it costs

For a month, write down every no-show and the value of the slot. You may find it’s a few clients doing most of it, which makes the fix simple: an advance for them, and none for everyone else.
