What Is Salon Software? An Honest Guide for Salon Owners

Picture the front desk at seven on a Saturday evening. The diary has crossings-out on every page, the cash drawer is 1,200 short of what the bill book says, and one of your stylists is waiting to ask what her commission came to this month. Nobody has done anything wrong. The salon has just outgrown paper.

That’s the gap salon software fills. It keeps track of who’s booked when, what each client paid, what each stylist earned and what’s left on the shelf, and it does the adding up so you don’t have to. You’ll also hear it called salon management software, a salon management system, or just “the salon app”. Same thing.

We build salon software, so we’re not neutral. But we’ve watched plenty of owners pick the wrong system for the wrong reasons, and most of that is avoidable. So here’s the honest version.

What it actually needs to do well

Every brochure lists a hundred features. In practice, these are the ones you’ll touch every day.

Bookings and reminders

You want each stylist in their own column, a warning before two clients land on the same chair, and a link clients can book from without calling. Then, the boring hero: automatic reminders. Nothing cuts no-shows like a message the day before with a button to confirm or cancel. More on that in our page on salon appointment software.

The till

Billing is where money quietly leaks. Good salon billing software puts a staff name on every line, shows discounts as their own line instead of shaving the price, handles part payments and split payments, and sends the receipt to the client’s WhatsApp. That last bit matters more than people think: your salon’s name ends up sitting in their chat list.

Your team

If you’ve ever had an argument about commission, you already know why this one is on the list. The software should work it out the way you actually pay people, per stylist or per service, with tips and advances included, and print a payslip at the end.

Stock you sell and stock you use

Retail products are easy. The tricky part is backbar: the shampoo, colour and cotton that disappear during services. The better systems let you say once that a hair wash uses about 10 ml of shampoo, and then take it off the stock every time that service is billed.

Clients, memberships and loyalty

History, birthdays, balances, loyalty points, prepaid packages. If you sell packages at all, you need the software to count remaining sessions for you. Our salon membership software page goes deeper.

Numbers you can trust

Sales by day, service and stylist. Expenses. Who owes you. And a nightly cash count that tells you if the drawer matches. If a system can’t tell you last month’s profit, it’s a booking app, not salon software.

Cloud, app or desktop?

The old salon systems lived on one PC behind the desk. If that PC died, so did your Saturday. Today almost everything is cloud-based, which means the same data on your phone, the reception tablet and the laptop at home. The one thing we’d insist on: it has to keep billing when the internet drops, and catch up by itself once it’s back.

What should it cost?

The features are similar across most products. The pricing isn’t. Broadly, you’ll see two models:

  • Per staff member, per month. Looks cheap on the website, especially for a solo stylist. Gets expensive quickly once you have six or seven people on the floor.
  • One price for the whole salon. You pay the same whether you have two chairs or ten.

Then look for the extras nobody puts on the pricing page: message credits, card fees, an online-booking add-on, setup charges.

  1. Can I try everything free, without handing over a card?
  2. Is it priced per person or per salon?
  3. What happens to billing when the Wi-Fi goes?
  4. Can it pay commission the way I pay my team today?
  5. Do reminders go out on the app my clients actually read?
  6. Can my staff use it in their own language?
  7. If I leave one day, can I take all my data with me?

Is it worth it for a small salon?

Honestly, small salons often get the most out of it. Stop one no-show a week and catch one wrong bill a week, and it has usually paid for itself. But the thing owners mention first isn’t money.
